How can teachers see their timetable on their phone?
In Academic Scheduler, the admin opens Schedules, selects a teacher (or class), clicks Share, sets a password and copies the link, scans the QR code, or uses Share This Timetable to send it through WhatsApp, email or any app on the phone. The teacher opens the link, enters the password and sees their weekly timetable, always up to date.
The problem with paper and PDF timetables
In our onboarding calls, schools tell us the timetable usually reaches teachers as a printout on the staff-room wall or a PDF in a group chat. Both go out of date the moment a period moves. A week later there are three versions in circulation, and a teacher turns up for the wrong class because they were looking at the old one. Re-sending files after every change is tedious, so it often doesn't happen.
A live link fixes this at the source. The link always shows the timetable as it is now, so there is only ever one version.

Step by step: share a live timetable
- Open Schedules → Weekly Timetable.
- Choose the Teacher Timetable tab and select a teacher, or the Class Timetable tab and select a class to share with its students and parents.
- Click Share (Edit Mode must be off). The Share Schedules window opens. (If the button is greyed out, sharing is not included in your current plan.)
- Enter a password and click Set Password. The link is created and copied to your clipboard.
- Send it. Reopen Share to see the link, the password (each with a Copy button) and a QR code. On a phone, Share This Timetable opens the share sheet with the link and password ready to send.
- The teacher opens it on their phone, enters the password and sees their week. They can switch between horizontal and vertical views, zoom in or out, and tap a lesson for details.
Teacher timetables are generated automatically from the class timetables, so once the classes are built every teacher already has a timetable ready to share.
Tips for rolling it out
- Put the class QR codes on classroom doors or the notice board so students and visitors can scan instead of photographing a printout.
- Ask teachers to bookmark their link or add it to their home screen; it then behaves like an app icon.
- Send the password separately for class links shared with parents, and change it at the start of each term with Update Password.
