Building a school timetable is a job you do once a term. Managing it is a job you do every day: a teacher is absent, a class needs an extra Maths period, a parent asks for the latest copy, the principal wants to know who is free in Period 4. That daily work is where most of a coordinator's time actually goes, and it is the part spreadsheets handle worst.

This guide is about that day-to-day side. If you are still planning your first timetable, start with our step-by-step guide to making a school timetable, or read how to manage school timetables the smart way for the bigger picture.

What is timetable management software?

Timetable management software keeps every class and teacher timetable in one shared, live system, so you can change a period, cover an absent teacher, check who is free and share the latest version without editing several files by hand. Good software blocks clashes as you edit, so a change in one class never double-books a teacher.

Why managing a timetable by hand breaks down

In our onboarding calls, schools that come from Excel or paper usually describe the same problems:

  • One change, many files. Moving a teacher in one class timetable means updating their teacher timetable too, and it is easy to forget.
  • Hidden clashes. A teacher ends up booked with two classes at once, and nobody notices until the bell rings.
  • Morning cover panic. When a teacher calls in sick, someone has to work out, period by period, which colleagues are free.
  • Old copies in circulation. Printouts and forwarded files go out of date the moment anything changes.

How to manage your timetable in Academic Scheduler

Once your periods, subjects, teachers and classes are set up, everyday management happens in a few places.

1. Edit a class timetable safely

  1. Open Schedules and pick a class from the Class Timetable tab.
  2. Turn Edit Mode on.
  3. Click a period, choose the subject and the teacher. Teachers who are already teaching another class at that time are greyed out with a note ("Already teaching… in this period"), so you cannot double-book them.
  4. Save straight away, or add several changes to Pending and use Save All once.

Each teacher's own timetable is built automatically from the class timetables, so there is nothing else to update.

2. Check the whole school for one period

With Edit Mode off, click any period. A panel shows that period across the school: which teachers are teaching, which are free, and which classes are busy. It is the fastest answer to "who can take 9B right now?"

3. See the whole day at a glance

The Daily Timetable shows one day for every class or every teacher on a single screen, with search. We cover it in detail in Day Timetable: teacher-wise and class-wise views.

4. Cover absent teachers

In Substitutions, select the absent teacher and the day. You see every class they were due to teach and, for each period, the teachers who are free. Pick one and email them the details in one click. More in Simplify Teacher Substitutions.

5. Keep workload fair

Below each timetable, Timetable Statistics & Analysis shows periods per week and workload for each teacher, subject and class, and the dashboard charts teacher workload across the school.

6. Share the current version

Download any class or teacher timetable as a PDF or Excel file, or (on plans that include it) share a password-protected link that always shows the latest timetable.

Tips from our onboarding calls

  • Set teacher availability first. If a part-time teacher only works three days, record their available days and periods in their teacher profile before you start editing.
  • Use weekly subject limits. Setting "Maths: 6 per week" on a class stops the timetable drifting over the term.
  • Batch your edits. Use Pending and Save All when reworking a class, so half-finished changes are not visible to staff.
  • Share links, not files. A shared link never goes out of date; a forwarded PDF does.
  • Use colour filters. Colour the grid by subject, teacher or class to spot gaps and imbalances quickly.

Frequently Asked Questions

What is the best timetable management software for schools?

The best choice is one that blocks teacher clashes while you edit, updates teacher timetables automatically, handles substitutions and lets you share the latest version. Academic Scheduler does all of this in the browser and is used by 350+ schools and institutions.

How do schools manage timetable changes during the term?

In Academic Scheduler you open the class, turn Edit Mode on and change the period. The teacher's timetable updates automatically and busy teachers are flagged, so a mid-term change does not create new clashes.

Can I find which teachers are free in a period?

Yes. With Edit Mode off, click any period in the timetable to see which teachers are teaching and which are free at that time across the whole school.

Does it handle teacher substitutions?

Yes. Select the absent teacher and the day in Substitutions, see the free teachers for each period, and email the chosen substitute the class, subject, day and period.

Is there a free trial?

Yes. You can start a 14-day free trial without a credit card.

Do teachers see timetable changes straight away?

Yes, if you share timetables as live links. Teachers always see the latest version as soon as you save a change, so there is nothing to re-send.
